Assessing the Adequacy of an HR Department for Your Organization’s Size

The management of a company’s most valuable asset, its people, is mostly the responsibility of the Human Resources (HR) department. It’s critical to assess if the HR department is adequately staffed to fulfill the demands of the workforce as firms expand and change.

According to Indeed, an average HR staff to employee ratio is around 2.57 for all organizations. Small organizations have higher ratios with an average of 3.40. Medium organizations often have ratios around 1.22 while a normal ratio for large organizations is 1.03. 

FACTORS IMPACTING THE HR-TO-EMPLOYEE RATIO

The HR-to-employee ratio can help organizations make HR staffing decisions, but several factors can affect it. 

  1. Technology – HR specialists will be needed less if HR processes are automated. Investment in digital and self-service HR tools can increase accuracy and empower managers and employees to self-manage numerous HR processes, freeing up HR experts to focus on higher-value work.
  2. Proactive VS. Reactive HR – Differentiate between proactive HR, which focuses on strategic planning, culture development, and employee involvement, and reactive HR, which focuses on compliance and administrative responsibilities.
  3. Budget – A greater budget allows a business to hire more HR staff, whereas a lesser budget limits the number of employees, affecting the HR-to-employee ratio. Increasing the size of an HR department may increase the HR-to-employee ratio, but a well-functioning HR department can help decrease expenses elsewhere. Talk with your current HR staff to determine if your budget is reasonable for your team or where you need to cut costs.
  4. Outsourcing and Consulting – Outsourcing HR functions or employing HR consultants as needed can be cheaper than recruiting a large in-house team.
