Do you know how to properly onboard employees remotely?

In the years since the COVID-19 pandemic, remote and hybrid work arrangements have become far more common.

These work environments can provide many advantages for employees, including improved work-life balance, reduced commuting costs and flexible schedules.

Employers may also enjoy various benefits, such as a larger talent pool from which to hire.

However, remote work also requires businesses to consider new or heightened challenges, such as successfully onboarding new hires who are not physically present.

Why is it Important to Onboard Employees Remotely?

Onboarding a new employee is a critical step in the employment process. While the interview and hiring processes may technically be an employee’s first formal introduction to a company, onboarding is often where they will learn what it’s like to be a member of their new organization.

Employers must prioritize putting their best foot forward by providing a professional and efficient onboarding process. Doing so can help new hires immerse themselves in the workplace culture, understand values and expectations, and hit the ground running as they embark on a new career phase.

7 Key Steps for Successful Remote Onboarding

When planning the remote onboarding process, employers should establish formal procedures and practices but allow for flexibility depending on various circumstances. For example, certain requirements and standards may vary when hiring new employees from other states or countries.

Generally, a company should consider the following steps during remote onboarding:

  • Compose an itinerary. Providing new hires with a detailed schedule of their onboarding process can help them feel comfortable from the start.
  • Provide documents in advance. Employers may be able to get a head start on paperwork by emailing essential forms, such as Form I-9, tax forms and direct deposit documents, to an employee ahead of their start date.
  • Consider remote workstations. Confirm with remote employees that they have a plan for their remote workstation. Ensure they understand the importance of ergonomics and that essential electronic devices, such as a company laptop, are delivered before their start date.
  • Discuss expectations. Provide remote employees with an electronic copy of a company handbook and discuss companywide policies and specific job expectations for their new position.
  • Prioritize cybersecurity. Remote work has exacerbated many cyber risks and exposures. Conduct robust training regarding good cybersecurity practices and ensure new hires are aware of company standards, such as avoiding public Wi-Fi and utilizing a virtual private network.
  • Schedule introductions. Arrange meetings or informal team gatherings using video chat programs to help new remote hires meet their coworkers and develop a sense of belonging.
  • Check in regularly. Ensure direct superiors and mentors regularly check in with new remote hires, as those working off-site may feel isolated and be hesitant to reach out with questions or concerns.
